Lessons Learned: Avoiding Holiday Shipping Woes

MasterCard Advisors SpendingPulse reported that U.S. retail sales rose 3.5% during this past holiday season.  According to ComScore Inc. merchandise purchased via personal computers rose 10% to $42.75 billion.   IBM Digital Analytics cited Internet sales soaring 37% over 2012 in the last weekend before Christmas as last minute shoppers rushed to order gifts at the 11th hour. Statistics indicate that while the bulk of holiday spending still takes place at physical locations, online shopping has gained immense popularity and is becoming a much larger part of holiday spending.  This is good news for online retailers.

Reliable deliveries are a crucial part of the online shopping experience, especially with shoppers that wait until the last minute to make their selections.  This year Amazon raised the bar by offering expedited shipping with Sunday package delivery via the USPS and packages guaranteed to arrive by Christmas. Many retailers followed Amazon’s lead, extending their order cut-off dates, promising same-day and Christmas delivery even if orders were placed as late as December 23rd. Shoppers’ reactions were so overwhelming that UPS and FedEx experienced overloaded systems that caused numerous Christmas and same-day delivery promises to go unmet.

The growing popularity of free shipping to entice consumers was another major factor that resulted in increased shipment volume. In the third week of December, Amazon’s Prime membership drew more than 1 million people.  Prime membership ($79 annual fee) offers free two-day shipping.  Most last minute online orders needed to ship via air or other expedited methods to reach their destination in time.  Bad weather across the nation cancelled or delayed many flights which contributed to the shipping woes.

Chetan Ghai, senior product officer at ShopperTrak feels that online businesses will continue to experience the greatest growth although he feels that next year, people who procrastinate until a few days before the holiday may be wary of relying on deliveries.  He said, “I think there will be some people who choose to go into the store, rather than risk a missed delivery.”

Being prepared comes from lessons learned and this holiday shopping season was certainly a teachable moment for both shipping companies and online retailers. Both need to pay attention to aggressive shipping options, promotional offerings, weather considerations, order volume and timing issues to avoid a repeat of 2014’s shipping woes.

There is a lot of revenue riding on the ‘run-up to Christmas’ and 2014 will only see the gain of one more shopping day (26 to 27 days) between Thanksgiving and Christmas.  Shipping schedules that allow for unforeseen delays will need to be factored in to deliveries.  Connecting with customers early in the season (before Thanksgiving), offering more realistic order cut-off dates, not waiting until the last minute to offer the best deals and handling logistics more efficiently can  help to avoid future holiday shipping issues.

Ensure Accurate Shipping with Address Correction Validation

Dydacomp has just mailed the most recent Address Correction Validation Module (AVCM) update so keep an eye out for the disk in the mail. All M.O.M. users with ACVM should keep an eye out for the update in the mail. The January 2012 release from the USPS will provide the most accurate addresses to date and ensure that your orders are shipping to accurate locations. These updated addresses will be valid for three months until we send out the next batch of updates in March 2012.

Don’t have ACVM module for your M.O.M. system? The Address Correction and Validation module (ACVM) will compare key-entered, imported shipping and mailing addresses against actual USPS® data in real time. This comparison will help ensure that all of the addresses you send packages to are valid and accurate.

Address correction fees can end up costing your business about $15 per mailing adjustment. These fees can leave you frustrated and with the decision whether your business will simply absorb the costs or charge your customer.  ACVM also allows your business to avoid shipping delays due to inaccurate addresses to ensure your customers receive their orders on time. The ACVM service can be used not only on individual addresses but to validate target customer lists created in the List Management Module (LMM). There are a number of necessary expenses needed to run your business, but address correction fees should not be one of them.  Avoid shipping address issues before they arise with the Address Correction Validation Module.

Latest M.O.M. Update Now Available

Now that the holiday season is over, Dydacomp will resume the update schedule in which our developers will provide important M.O.M. enhancements and bug fixes in a M.O.M. update every two weeks. These updates are targeted to help improve Multichannel Order Managers functionalities from order entry to inventory management. The newest bi-weekly executable is now available for download on the support section of our website and is the first M.O.M. update for 2012.

Within this release, we have made some minor enhancements and a number of fixes for supported M.O.M. users that the Dydacomp Development team has been working on over the busy holiday season.

This week’s executable (dated 01.10.12) includes:

  • New stock item alert message that will prompt M.O.M. user to review actions before storing  any changes to prevent users from accidentally inserting a negative unit cost
  • Resolved previous issue that caused the gift message to be removed when user clicked on the “Hold controls” icon
  • Improvements to the  Order Export wizard
  • Updates MAXI code to improve integration with  UPS
  • Assemble Kit Function now will process orders based on available inventory on site
  • Addition of phone masking for Alternate or Fax numbers in customer look up screen
  • Enhances the synchronization between Blackthorn/eBay and M.O.M.

Latest Support Release Available for Download

The latest bi-weekly release for Multichannel Order Manager  is now available for download on support section of our website.

Today’s support release  (11.01.11) includes:

  • A new field as been added in the Misc tab of a stock item to allow information to be written to a custom field that will be passed to Endicia for customs information for international shipping.
  • A change has been made to the box ID barcode so it will be readable by HarveySoft CPS.
  • A new tab has been added on the line item extended information screen to display the special pricing an item is eligible for.
  • Form N and Form S will now print a certified label for FedEx when using FedEx Ship Manager Server
  • For a full list of the enhancements and fixes in the update please visit the support section of our website.

Dydacomp support does have a plan to implement critical releases if any issues arise during this busy holiday season and will keep all customers informed of any critical M.O.M. releases during this time. This includes releasing a new program update to owners of our Automatic Shipping Calculation Module (ASCM) when the 2012 rates are made available to Dydacomp by all package carriers.”

To help ensure a successful holiday shopping season, the Support team has compiled a few tips to help ensure the stability of your M.O.M. system.

1.)       Implement and increase scheduled back-up routines

We recommend that all M.O.M. users should have a backup procedure already in place.  The best practice to start implementing, especially in this busy holiday season, would be to schedule backups on a daily basis.  If you do not already have a back-up routine in place, check out this blog or this user forum article for tips.

2.)       Weekly/Bi-weekly Re-index

To take advantage of M.O.M’s front-end ability to bring up records in larger tables, we recommend a database re-index routine should be run on a scheduled basis. Due to the fact that database re-indexing requires exclusive use of the system (only one user being logged into MOM), some users only run the re-index when asked by Dydacomp support. As the holiday season will result in a steady increase in data entered into the database, a re-indexing schedule should be run on a weekly or bi-weekly basis to ensure the stability and success of your M.O.M. system.  A backup should also be made prior to re-indexing the database.

3.)       Avoid conducting any Windows Updates or implementing any new 3rd party software installs/updates until after the holiday season

3rdparty vendors that integrate with your order management system  (ex. Blackthorne, ShopSite, Miva, etc.) may introduce  database changes in their upgrades that the Dydacomp may not be aware of.  Some Windows Updates are also known to make unexpected changes to your operating systems.  To best avoid a disturbance in your daily order entry and processing cycles during the holiday season, it is recommended that you wait to make any 3rd party updates until January 2012.

Dydacomp has just mailed the most recent Address Correction Validation Module (AVCM) update.  All Multichannel Order Manager users with ACVM should keep an eye out for the  disk with the new updated data  in the mail. You should expect the data by the end of this week or beginning of next week.

The July 2011 release will expire on October 28,2011 and the new data from the USPS will provide the most accurate addresses to date. These updated addresses will be valid from October 28,2011 until January 28, 2012 when we will be send out the next batch of updates.

ACVM Resolution

The recent issue with Dydacomp’s Address Correction Verification Module has been successfully resolved.   The first step for M.O.M. 7.1 and 6.2 users is to get the latest program update published 8/5/2011 on the support section of the website. Click here for a guide to download the newest executable.  The next step is to extract the new ACVM data which is on the new ACVM disks you will be receiving shortly. As of this morning, all of the new ACVM disks have been mailed out to all ACVM users.

Once you have downloaded the latest program update and received the ACVM data, you should then re-enable ACVM .

1. Go to the Maintain drop down menu, followed by System Information, and then select Global Parameters.

2. Once in Global Parameters, select the Customer Entry Tab.

3. Re-check off the boxes of your ACVM choices and re-enter your ACVM Installation Path into the ACVM box.

The Dydacomp Team has been hard at work to resolve the recent issue that arose with M.O.M.’s Address Correction and Validation Module and USPS. The issue has been successfully identified and Dydacomp developers are currently finishing up final testing on the resolution.

Keep an eye on your email inbox as the release will be available early next week and we will distribute instructions for resolving the error. New ACVM disks will be sent out next week as well.
